Privacy Policy
Who we are
HoopHub is run by Nova Technologies Ltd. (“HoopHub”, “we”, “us”). We are responsible for the personal information this policy describes. Questions about it go to info@hoophub.ca.
What we collect
We collect what it takes to run your account, your leagues and your games.
Your account
- Your email address. We use it to sign you in with a one-time code and to contact you about your account.
- A password, if you choose to set one. It is handled by our sign-in provider — we never see it.
- If you sign in with Google or Apple, the email address they share with us. (Apple can give us a private relay address instead of your real one.)
- Your HoopID, who invited you (if you joined through an invite link), when you agreed to our terms, and your settings, such as notification preferences.
Signing in never uses your phone number.
Your profile
Whatever you choose to add: your name, photo, position, height, weight, vertical, gender, skill level, city, a short bio, and an emergency contact.
Games and leagues
- What happens in each game, as the scorer records it — such as shots and where on the court they were taken, rebounds, fouls, substitutions, timeouts and the game clock. Your stats and career are calculated from these records.
- Rosters, jersey numbers and schedules kept by organizers and team managers.
- Organizers, team managers and captains can add you to a roster before you have an account, using the name they type and sometimes a photo, and can record your email address so you can claim your record. An organizer can also record your Instagram handle. They use your email and handle to tell you apart from players with the same name and to link your seasons across their leagues; your public season page then lists those seasons together, but never shows the email or the handle. An organizer can also record a name, email address and phone number for a team’s contact person. We may email you about your record; an invitation names the person who added you and has a “this isn’t me” link.
- Your answers to an organizer’s registration questions, including answers your captain gives on your behalf.
- Whether you’re in or out for a game, the runs you sign up for, the courts you say you’re heading to and when, and the players, teams and leagues you follow.
- If you host a run, the details you add — including a contact phone number, which only players who are going or on the waitlist can see.
Waivers
When you sign a waiver, we keep the version you signed, your typed name, your email, the time, and the IP address and browser or device details of the signing — the record that shows the signature is genuine. If you sign on behalf of a player under 19, we also keep your name and your relationship to them.
Photos and posts
Photos you upload — profile photos, team logos, league covers, post photos — the posts organizers publish, and your reactions, reports and blocks. Uploaded photos can be automatically screened for explicit content.
Location
If you allow it, the app uses your phone’s location to pick your city and to show how far away runs and courts are. That happens on your phone — we don’t send your location to our servers or store it. We do store the city you choose.
Device and usage
- Which screens and features get used, the app version and device type, and error reports. We collect these with PostHog, linked to your account’s internal ID — never your name or email. We don’t record your screen, and we don’t work out where you are from your IP address.
- A push notification token for your device, if you turn notifications on.
- In a browser: your sign-in session, a few preferences and — if you arrived through someone’s invite link — who invited you are kept in your browser’s storage, and our analytics service sets its own cookie. We don’t use advertising cookies.
How we use it
- To run your account, and the leagues, teams and runs you’re part of.
- To calculate stats, standings and careers from game records, and show them on public pages.
- To send what you’d expect: sign-in codes, notifications, emails about waivers and your records, and league announcements (which you can turn off).
- To keep the community safe: screening photos, and reviewing reports and blocks. A small number of HoopHub staff can look up account details to fix a problem or look into a report, and the changes they make are logged.
- To understand how HoopHub is used, and fix what breaks.
We do not sell your data, and we do not use it for advertising.
What's public
- Game reports, standings, league pages and player profiles are public by design — anyone can read them without an account. That is the product.
- Your public profile shows your name, photo, HoopID, position, height, weight, vertical, gender, skill level, city and bio; your stats, game log, shot charts, achievements and awards; the runs you’ve gone to; and the players you follow and who follows you.
- Your emergency contact is never public, and neither is your email address — with one exception: if you create a league brand, the email you sign in with is shown as the organizer’s contact on your leagues’ registration pages.
- Your name can appear in game records before you join, because an organizer entered it. You can claim those records — or choose not to, if you’d rather stay unclaimed.
- When you say you’re heading to a court, anyone can see it and when you plan to arrive. When you sign up for a run, people who can see that run can see you’re going.
Where it's stored
Our database, servers, photos and analytics are in the United States — our servers and photo storage in Oregon — and photos are delivered through a worldwide network. Our emails are sent from Canada. Database backups are kept in the United States and by our team in Canada. Information stored outside Canada is subject to the laws of the country where it is kept.
How long we keep it
- We keep your information while your account is open.
- When you delete your account, we delete your profile, the photos you uploaded, your follows, your device tokens and notifications, and your roles in leagues and teams.
- Some records stay, because they are part of other people’s league history or are legal records: the games you played in and their stats — under the name your player record showed when you left, no longer linked to your account — a photo a league took of you for those records and the Instagram handle its organizer noted, your waiver signatures, your registration answers, posts you published for a league, and reports about your account. Email us if you want your name taken off past game records.
- We keep a list of email addresses that unsubscribed, said “this isn’t me” or bounced, so we can stop sending them the emails those choices cover.
- Usage analytics are kept for up to a year.
Your choices
- Change your profile details any time in Settings.
- Delete your account in the app: Settings → Account → Delete account. If you own a league brand, contact us first so it can be handed over or closed.
- Turn off league announcement emails with the unsubscribe link in any of them, or in Settings → Notifications, where you can also turn off several kinds of notifications.
- Choose not to claim a player record.
- Block anyone to stop seeing them, and report anything that breaks our rules.
- To see the information we hold about you, correct it, or ask us to delete it, email info@hoophub.ca.
